What breaks at the second building
One building can be run on personal knowledge. The manager knows which suite is empty because they walked past it, knows the plumber's number, knows the Braithwaite lease is up in March. It works, and it does not survive duplication.
At two or three sites the failures are predictable. Each building invents its own process. Reporting means combining spreadsheets by hand, so it happens monthly at best. A tenant with space in two of your buildings exists twice, differently. Nobody can answer "how many offices are empty across the portfolio" without ringing round.
The usual response is to run the same single-site software several times over, once per building. That solves the local problem and guarantees the portfolio one.
One platform, every site

Standardising how buildings are run
The real gain from a portfolio platform is not the reporting. It is that every site works the same way.
- Ticket categories carry the same response and resolution targets everywhere, so a tenant gets the same service standard whichever building they are in
- Housekeeping schedules use the same shifts and the same completion-photo rules, so "done" means the same thing at every site
- Compliance registers hold the same certificate types with the same warning periods, so no building quietly drifts out of date
- Contract templates are shared, so agreements are consistent and renewals are handled the same way
When you open a fourth building you are copying a working operation, not starting again.
Access, per person
Every person gets their own login with a role and, where you need finer control, module access set individually. A site manager can be given the modules they need without becoming an administrator of the whole portfolio.
Administrator seats are capped by tier — 3 on Starter, 10 on Professional, unlimited on Enterprise — so on a growing portfolio it is worth keeping admin for people who genuinely need settings and billing, and making everyone else staff.
Seeing the portfolio
The dashboard reports across modules rather than per building: tickets, bookings, tenancies, tasks and finance in one view. Any list exports to CSV, and key reports can be scheduled by email.
The questions this answers are the ones that are hard today — which building generates the most maintenance spend, where room utilisation is weakest, which sites have renewals clustered in the same quarter.
Portfolio-wide maintenance and contractors
A contractor working across several of your sites is one record with one history, not three. Costs recorded against tickets aggregate by category, by contractor and by building, which is the evidence you need when a national contract comes up for renewal.
Recurring maintenance and compliance run per building on the same escalating reminder chain, so an overdue task at your quietest site chases just as persistently as one at your busiest.
One brand across the portfolio
On Professional the tenant portal, the installed mobile app and outbound email carry your logo, your colours and your domain. A tenant moving between your buildings sees one consistent brand rather than a different experience per site.
Growing without the software bill following you
Because pricing is a flat monthly fee rather than per member, adding occupancy across a portfolio does not increase what you pay. The tier changes with the number of offices, not with how full they are — and there is no commission on room-hire revenue at any tier.
