WorkHub builds the contract from your own templates, fills in the details it already holds, and takes it through signing without printing anything.

Before the first contract

Two things need doing once:

  1. Upload your templatesSettings → Tenancy. Your own PDF or Word documents, with merge fields for tenant, company number, office, floor, rent and dates. A signing pack can hold up to five documents.
  2. Sign and witness the landlord signature — see below. Until this is done, tenant signing links are paused.

The landlord signature must be witnessed

Settings → Tenancy → Landlord Signature Witness.

You sign once, and a witness confirms they watched you do it. The witness needs to be an adult who was actually present — it needn't be a solicitor.

Until the witness section is completed, WorkHub will not issue tenant signing links at all. This is deliberate: an executed lease with an unwitnessed landlord signature is a problem discovered at exactly the wrong moment, so it is blocked at the start instead.

Re-witness is there for when the signature changes or a new signatory takes over.

Creating the contract

Lifecycle → New Contract. Choose the company and contact, the office, the term, the rent and the deposit. Contract Keys — set in Settings — controls which keys the form offers once you have chosen an office.

The floor comes from the office, which is why the floor list is worth setting up properly first.

Signing

Send the signing link and the tenant signs in a browser — no account, no app.

Witnessed tenant signatures

If your templates require the tenant's signature to be witnessed, turn it on in the tenancy settings. The signing flow then moves to a witness step after the tenant signs: they hand the device to their witness, who signs on the same screen.

The witness type is recorded, from: a solicitor, a notary public, a company director, a staff member, an independent third party, a commissioner for oaths, or a justice of the peace.

Remote signing supports this properly — a tenant signing at their own desk can have their own witness sign, rather than the flow assuming everyone is stood at your reception.

After signing

The executed pack is stored against the tenancy, with the signatures, the witness record and the timestamps. Renewal dates and reminders start from the term you entered — see Renewals, notice and reminders.
