Registering keys
Keys → Register a Key. Give each one a Key label, and say which Office, Floor or common area it opens. Register the physical stock first — every key, fob and card you hold — before you start issuing.
Issuing
Issue a Key: choose the key and the Person. Their Company and Leased By fill in from the CRM. Add Notes for anything unusual — a temporary issue for contractor access, say.
The key moves to Issued and shows against that person's contact record and their tenancy.
Returns
Mark it returned when it comes back, and it goes to Available. If it doesn't come back, mark it Lost — that's a decision to record, not to leave ambiguous. A lost master is a re-keying conversation, and you want the date it went missing.
The audit trail
Audit Trail logs every issue and return with a timestamp and the Processed By name. It can't be edited. This matters after an incident, when the question is who could have got into a room on a particular night.
Filters
Filter by All statuses, All people and All rooms. "All issued keys for this company" is the view you want in front of you at move-out.
Move-out
Clearing the key register is part of the move-out checklist. The tenancy record shows Keys Issued, so an outstanding key is visible before you return the deposit — which is the moment you have leverage to get it back.
Digital credentials
Fobs and cards register the same way as mechanical keys. Deactivating a fob on your access control system is separate — WorkHub records who holds what; it doesn't yet drive the door controller. Access control integration is on the roadmap, and voting on it helps us prioritise.
