Chasing a £40 room-hire invoice costs more than the £40. Connecting Stripe lets people pay when they book.

Where it lives

Settings → Integrations → 💳 Payments. You'll need the Client Admin role.

Connecting

Enter your Stripe Publishable Key and Secret Key, then Save Payment Settings. Funds settle into your own Stripe account on your own payout schedule. WorkHub takes no commission on anything you charge — Stripe's own processing fees apply as normal.

When the money is taken

Two capture modes, and the choice matters more than it looks:

  • Charge immediately. The card is charged at the point of booking. Simplest, and right for a self-service booking you're happy to honour.
  • Pre-authorise, capture on approval. The amount is held on the card and only taken when someone approves the booking. Right if you vet bookings, or if the room might not be available after all — the customer never sees a charge and refund, just a hold that disappears.

Requiring payment

Require payment before confirming a booking does what it says: the booking stays unconfirmed until payment succeeds. Without it, a booking is confirmed and the payment chased separately.

Internal (tenant) bookings normally go onto the monthly invoice instead — tenants shouldn't be typing card details for a meeting room.

Testing before you go live

Use Stripe test keys first and put a booking through end to end. Confirm the money appears where you expect and the booking status changes. Then switch to live keys.

Refunds

Refund from the booking or invoice in WorkHub — full or partial. It's processed through Stripe and both records update. Don't refund from the Stripe dashboard directly: WorkHub won't know, and your records will disagree.

Card details

WorkHub never sees or stores card numbers — payment pages are hosted by Stripe. Nobody on your team should ever be typing a customer's card number into WorkHub.
