Bookings are made from the diary, by tenants through the portal, or by external customers through the widget on your website.

Making a booking

Bookings → New Booking. Choose the room, the date and time, and who it is for. The rate follows automatically from whether they are a tenant or external, and whether you picked a public or internal rate.

Booking types

Internal bookings are free — your own team using a room — so no bill is raised. Tenant and external bookings are priced.

How it gets paid

Each booking carries a payment method. Leave it on the workspace default, or set it per booking:

  • Invoice — added to their account and invoiced
  • Stripe link on approval — a payment link is sent when the booking is approved

The workspace default is set in your Stripe settings — see Taking card payments. External customers booking through the widget normally pay at the point of booking, which is the whole point of the widget: you are not chasing £40 for a room.

Clashes

The diary blocks double-booking, including the buffer either side. Availability shown in the widget is live, so a customer cannot book a room somebody took two minutes ago.

Changes and cancellations

Amend or cancel from the booking record. Anything already invoiced needs the invoice crediting in Finance — cancelling the booking does not silently rewrite the ledger, which is deliberate.
